EasyMail Outbound Send-As Sending Policy and Domain Authorization

easyMail (easyDNS’s outbound email service) enforces a strict policy to prevent unauthorized use and reduce spam. Starting May 30, 2022, you can only send emails using domains that are properly authorized for your easyMail account.

This policy ensures that emails sent through easyMail come from domains you control and have correctly configured for outbound sending.

Key Policy Requirements

  • Domain Matching Rule: When logged in with an account like user@yourdomain.com, you can only send emails from addresses under domains (or subdomains) authorized for that easyMail account.
  • Unauthorized Sending Blocked: Attempts to send from a different domain (e.g., a Gmail, Rogers, or external provider address) will be rejected by default.

How to Authorize a Domain for Outbound Sending

You can authorize domains in the following ways:

  1. Domains in Your easyDNS Account Add any domain or subdomain registered in your easyDNS account directly through the control panel. This is the simplest method.
  2. External Domains or Other Providers For domains hosted elsewhere or addresses from other email providers, contact easyDNS Support for assistance. Authentication methods may include:
    • Submitting an Easy-Does-It (EDI) request from within your easyDNS account.
    • Sending a verification email from the external address.
    • Updating DNS records (see below).

Important DNS Requirements for Outbound Domains

Any domain name added for outbound sending must have the proper SPF and DKIM records configured at its DNS provider.

  • SPF (Sender Policy Framework): Must include easyMail’s servers so receiving mail servers know easyMail is authorized to send on behalf of your domain. Contact Support for the exact SPF record to add, or use the TXT record update method mentioned for verification.
  • DKIM (DomainKeys Identified Mail): Must be properly set up with easyMail’s selectors so signatures can be validated. This helps with deliverability and prevents messages from being marked as spam.

Without correct SPF and DKIM, even authorized domains may experience delivery issues or outright rejection by recipient servers.

Best Practices

  • Ensure all domains you intend to send from are listed in your easyDNS account when possible.
  • Verify SPF and DKIM records using tools like MX Toolbox or easyDNS’s DNS checker after updates.
  • Test sending after authorization to confirm deliverability.
  • If you’re using easyMail alongside other providers, set up proper forwarding or aliases as needed.
